Vendor Documentation

It’s a common frustration we hear from our clients: they reach the end of a project and haven’t received all the necessary documents from their process design engineering consultants.

This oversight leads to many problems, including the inability to demonstrate compliance, which can incur additional costs to obtain these documents retrospectively.

We discuss the type of documents you should expect at the end of a design project.

To ensure a smooth and compliant project handover, the final technical file must comprise three broad categories of documents, particularly if you are using a design consultancy to manage Engineering, Procurement, and Construction (EPC) or purchasing a turnkey package.

Here’s a breakdown of some of the typical documents you should receive under each category:

Design Documents:

Piping and Instrumentation Diagrams (P&IDs)
Basis of Design
Engineering Analysis
Operating Philosophy
Datasheets
Line Lists
Block Diagrams
Specifications
Tender Evaluation
Safety and Compliance Studies (HAZOP, LOPA, DSEAR)

Vendor Documents for Equipment & Packages:

Datasheets
Drawings
Performance Curves
Operating Manuals
Material Certificates
CE/UKCA Marking
Test Certificates
ATEX Certificates
Quality (ITP)

Contractor (Mechanical/ Electrical/ Instrumentation) Documents:

Drawings
Material Certificates
CE/UKCA Marking
Test Certificates
Inspection Certificates
Functional Description Specification (FDS)
Factory Acceptance Test (FAT)
Site Acceptance Test (SAT)
Hazardous Area Installation/Inspection Certificates
